How should the nomination be made?

Language of the nomination

Nominations can be submitted in either German or English.

Subsequent changes

Once the nomination has been received, it is no longer possible to make changes or submit missing documents. Nominations that do not meet the formal criteria will not be considered in the further procedure.

Eligible host research institutions (see below) must submit their nominations by using the online form.

The online form (accessible from 1 August 2025) must be completed in full for each nomination and the following additional documents must be uploaded as a PDF file.

  1. Tabular curriculum vitae incl. list of publications of the nominee
  2. Copy of the nominee's doctoral/PhD degree certificate
  3. Proof of the nominee's current or last affiliation in the USA
  4. Signed form with the commitment of the nominating host institution to employ the nominee for the duration of the fellowship and to provide the necessary infrastructure

  5. Signed form with the commitment of the nominee to carry out the fellowship at the nominating host institution under the conditions specified in the nomination if the fellowship is approved.

The documents must be uploaded as a total of one PDF file.
Protected files will not be accepted.
The size of the file must not exceed 3 MB and must be named as follows:
Nomination_hostinstitution_surnameNominee.pdf

Submitting a reserve nomination

Eligible host research institutions (see above) must submit their reserve nominations accordingly by using the online form (accessible from 1 August 2025).

The online form must be completed in full for each reserve nomination and the following additional documents must be uploaded as a PDF file.

  1. Tabular curriculum vitae incl. list of publications of the nominee
  2. Copy of the nominee's doctoral/PhD degree certificate
  3. Proof of the nominee's current or last affiliation in the USA
  4. Signed form with the commitment of the nominating host institution to employ the nominee for the duration of the fellowship and to provide the necessary infrastructure

  5. Signed form with the commitment of the nominee to carry out the fellowship at the nominating host institution under the conditions specified in the nomination if the fellowship is approved

Processing

Upon receipt of the nomination, we will check that it is complete and fulfils all formal criteria before filing it with a project number (A-number) in the database of the Department of Fellowships and Awards.

After the documents have been checked for completeness, the nominating institutions receive confirmation by email.
